• Provide accurate information, guidance, and direction to travelers on the requirements, processes, and procedures of securing passports and visas.
• Communicate and maintain productive relationships with the embassy and Special Issuance Agency on visa and passport requests to ensure that requests are being completed and sent back to the office in proper time for the customer's travel dates.
• Keep meticulous records for tracking and controlling passports and visas.
• Work with travelers on timely passport renewals to avoid lapses in paperwork.
• Provide weekly, monthly, and yearly reports of all passport and visa transactions and report to management.
• Input passport and visa information, including expiration dates, into the applicable travel management system and use this system to track the statuses of passports/visas.
• Submit requests to the embassy or passport office in proper formats.
• Resolve any issues within the office to ensure that the customer’s requests are completed in a timely manner.
• Be available and flexible to expedite last-minute requests for passports and visas and work diligently to accommodate the traveler.
• Send all canceled passports that are returned to the agency back to the travelers who are no longer with the agency and maintain proper documentation for the records.
• Follow client policies, procedures, and approved workflows on how to service customers.
• Participate in ongoing training provided by the client.
• Other duties as assigned.
Qualifications:
• High school diploma or equivalent required. Bachelor’s degree required.
• At least 2-3 years of experience in managing all aspects of acquiring and processing official and diplomatic passports and visas for travelers.
• Able to obtain security clearance as required to work on site.
