Job Summary

The Web Guys seeks a full-time Website Project Coordinator to join our growing marketing firm. The preferred candidate has a business or marketing background, a bachelor’s degree in marketing or related field, and a minimum of two years’ professional experience.

As a Website Coordinator, you’ll create partnerships with our clients while managing their website design and build project. This creative, technical position requires a keen eye for details, design, and composition as well as an imaginative mind driven to develop and maintain your specialty knowledge and skill set. A disciplined, conscientious, hands-on approach is central to this role with an emphasis on marketing, strategic thinking, and attention to detail.

Job Responsibilities
• Manage website development projects from discovery through delivery/completion.
• Prepare agendas and lead client meetings, organizing tasks and takeaways.
• Maintain organized project notes and statuses.
• Communicate clearly with clients both written and verbally.
• Work closely with clients to understand their services, processes, service areas, and strategic marketing goals and apply them to a site design and UX.
• Consistently meet project budget and target date goals.
• Bring well thought-out ideas to management to improve existing processes.
• Look at every situation as a marketer to identify areas of opportunity and improvement.
• Set personal and team goals with a work ethic to meet or exceed them.
• Manage & prioritize multiple projects with differing timelines simultaneously through to completion.

Skills, Knowledge & Experience
• Bachelor’s degree in marketing, communications, or related field.
• 2+ years of experience as a project coordinator/manager, web design professional or a related field.
• Detail oriented with excellent organizational skills.
• Self-motivated with the ability to work independently and as part of a team.
• Technical and intellectual task-based focus with ability to prioritize, multi-task and meet deadlines.
• Confident and articulate customer-centric communicator with excellent writing skills.
• Experience with Adobe Creative Suite is a plus.
• WordPress experience is a plus.
• Basic or intermediate HTML and CSS experience is a plus.

Your Role:

Based in San Francisco, CRI is a top tier commercial furnishings consultancy focused on excellence in workplace strategy and design. The Project Manager provides overall project management for on-going corporate accounts (as required) as well as short- and long-term projects from inception to final close out. The role oversees, manages and coordinates all aspects of a project, from product specification, design consultation, budget management, and installation logistics and close-out. The role is responsible for managing the internal project team, coordinating and oversee all tasks and critical dates, customer and third-party relations, budget and deadline requirements and ultimately customer satisfaction.

This role is eligible for our Flexible Workplace policy, where there is an expectation to work from our San Francisco office 1 day a week.

Summary of Responsibilities:
• Primary contact for all project related communications
• Work in tandem with Account Manager or Account Executive to set customer/project expectations and build customer relationships
• Analyze, plan, schedule and implement project requirements
• Establish overall project scope and lead internal project team to ensure a coordinated effort including directing, and often participating in the design and specification process, overseeing pricing and order entry, developing project timelines, and advanced micro schedules, coordinating onsite installations and punch list resolution
• Conduct team meetings to ensure all team members understand their role and work requirements
• Manage the project budget to include tracking actual vs. projected pricing, order revisions, changes to scope and change orders
• Manage the project schedule to ensure product is ordered, delivered and installed on time
• Consult with architects, designers, manufacturers, contractors, sub-contractors and end-users to assist with programming, clarify furniture specifications and technical questions, and resolve issues as they arise
• Attend project/construction meetings as required
• Manage accurate and detailed record keeping, including budgets, pricing summaries, project notes, changes/revisions, and customer approvals
• Manage all final project close-out requirements
• Act as a CRI brand ambassador in all internal and external interactions
• Other projects/tasks as assigned

Requirements
• Bachelor’s degree in business administration or related field or 4+ years of Project Management experience
• Self-starting, solutions-oriented, energetic, analytical, strategic, creative and results-oriented with a strong background in project management
• Exceptional organizational, administrative and communication skills
• Knowledge of contract furniture industry or passionate about furniture/interior design, preferred
• Working knowledge of construction projects, furniture relocation and installation, trucking, installation labor, furniture manufacturing and shipping, building management and current workplace issues and trends
• Demonstrate professionalism, integrity, and sound judgment in the performance of business transactions, and commitment to providing an exceptional client experience
• Able to work effectively in a high pressure, deadline-intensive environment
• Strong interpersonal and communication skills to interact effectively with people both within and outside the company
• Must be detailed, organized, flexible and service oriented with the ability to multi-task, problem solve and prioritize effectively to meet deadlines
• Working knowledge of PC and Microsoft Office software, including Excel, Word, PowerPoint and Adobe PDF. Knowledge of MS Project and CAP 2020 is preferred
• Transportation is required, as time at client sites in the greater bay area may be required

Monitoring project progress, preparing monthly reports analyzing the accuracy of the budget, schedule, cash flow and manpower forecasts.

Identifying opportunities for cost-saving measures, quality improvement and incorporating best practices.

Ensuring KPR's are complete and all information is accurate.

Developing a detailed equipment plan.

Ensuring all safety regulations are adhered to.

Reviewing contracts and customer negotiations.

Supervise Construction Project Managers and perform PM duties on construction projects.

Maintain operational and administrative control for construction projects out of the Charleston and Richmond office.

Extensive Project Management experience managing teams and monitoring multiple projects at any given time.

7-9 years of experience with a Bachelor's degree in Electrical Engineering, Mechanical Engineering,

Experienced in up-front project involvement with engineering firms, the client, and General Contractors.

Proven track record of successful projects.

Has Managed diverse groups on projects that involve multi-discipline knowledge for example; Fire Alarm, Communications, Security, AV, Power, and Instrumentation.

Prepares status reports and works to ensure plans adhere to the business requirements.

A wide degree of creativity and latitude is expected.

Typically reports to top management.

Strong verbal and written communication skills.
