You Will...
• Develop and maintain a high level of competency in Customer Communication tools, including Inspire Designer, Inspire Automation, and Quadient Cloud
• Utilize Inspire Designer, Inspire Automation, and Quadient Cloud to create and deploy participant emails and automations
• Manage library of existing email templates and create and automate future email templates.

You Need...

The Coordinator, Group Leader Resources is a member of the Program Resources team and supports with administrative services across multiple Road Scholar product lines – International, North America, and Afloat. You will…
• Support Group Leader Resources in training new Group Leaders and serving as a resource to the team
• Write, send and track Program Assignment Agreement to all scheduled GL's
• Order branding kits and rack Group Leader credit cards to ensure all Group Leaders have an active, valid card
• Send and track post program feedback survey link. Send summary to Operations Teams
• Assist with Zoom and other software during all training sessions.

About The Role...

As the onsite representative of Road Scholar, the Group Leader is responsible for delivering the published program itinerary as promised while maintaining flexibility in order to make adjustments due to unforeseen circumstances. Group Leaders will complement the program’s educational content with their destination knowledge to further engage participants. Primary objectives include delivering high-quality program experiences for all trip Participants, building professional relationships with vendors, and fostering a positive team environment with all contacts at Road Scholar. In-house professional development and training seminars are required as part of this position in the Road Scholar family. Seasonal training will be delivered to ensure the Group Leader remains current regarding all Road Scholar policies, procedures, safety protocols, and quality metrics.

This is a part-time/seasonal opportunity for various programs throughout the Chicago IL, Washington DC, Charlottesville VA, and Williamsburg VA areas. Due to the seasonal nature of the role, this position is not benefits eligible. Hourly rates vary based on program location which ranges from $15.00 to $23.00 per hour plus tips.

We are seeking Group Leaders who live in the program destination/region or has an intimate knowledge of the destination.

You will...
• Prior to the program start date, the Group Leader and Road Scholar will hold a pre-program briefing
• Review PIPs (Personal Information and Preferences form) and relevant Program Information
• Send Pre-Program Email to participants
• Lead and manage all logistics and responsible for supporting educational delivery and quality
• Conduct Airport meet & greet (when transfer is included)
• Facilitate hotel check-in and registration
• Reconfirm vendors & included activities (instructors, local guides, coach, restaurants, etc.)
• Conduct Orientation, Farewell Briefings, and Daily Wrap-up Briefings
• Listening Device Management
• Accompany participants to all scheduled program activities and be available to them 24-7 during the program
• Liaise with local guides and instructors to ensure content is presented in a clear and relevant manner; drive Q&A and educational impact with participants
• Disbursement of payment to vendors (including tips) and manage program budget
• Anticipate and resolve program issues on site including challenging participants, mobility concerns, dietary restrictions, vendor cancellations, missed activities, and weather events. This should be done in close liaison with Road Scholar
• Follow established emergency procedures and escalate issues to Road Scholar as necessary
• Adhere to Road Scholar branding guidelines regarding use of Road Scholar apparel & signage

• Support multiple Operations Managers on up to 50 different program itineraries across product lines and a variety of program types.
• Liaise with our Customer Service team providing timely communication regarding participants’ program questions and special requests, to find solutions and encourage enrollments.
• Work with the program operations team and to ensure that program materials are completed accurately and on time, all procedures for managing programs are followed, and complete and accurate information has been submitted
• Arrange and confirm program details and logistics such as hotel nights, field trips, transfers, meals and additional program staff. Assist with negotiation of contracts for these items dependent on experience.
• Daily analysis of enrollments and space allotments on programs, ensuring optimal use of capacity in keeping with contractual deadlines
• Review, triage and action program changes when complications occur prior to and during programs
• Assist in preparing group leaders and on the ground staff for upcoming departures
• Review and reconciliation of financial details and invoices for vendors, staff and other program expenses
• Work closely with the Program Administration team to ensure the materials and reports are created and distributed on time
• Develop comprehensive knowledge of program content and destinations
• Will be required to attend and work on certain programs related to the position
• Moderate travel and some evening and weekend work required

You Need…
• To be an organized professional with 1-2 years administrative or relevant experience
• Bachelor’s degree preferred or equivalent experience

About the role...

The Coordinator, Office of the President will provide administrative and operational support for the Admin Manager, OOP in support of the organization’s strategic priorities. This role will have both internal- and external-facing responsibilities handling complex situations and multiple responsibilities simultaneously, mixing short and long-term projects with the urgency of immediate demands. The Administrative Coordinator will also assist with special projects as assigned and provide administrative support to the Senior Leadership Team and Advancement teams.

This is a hybrid position with an expectation of 2 days/week (Tuesday and Thursday) working in the Road Scholar office at 20 Park Plaza, Boston: the candidate must also be able to readily commute into Boston, as needed, for occasional in-person events and meetings. The rate of pay for this position ranges from $23.00 to $26.00 per hour.

You will...
• Assist with the scheduling, planning and execution of all Board and Committee meetings in a timely manner. Assist with coordinating committee and board meeting logistics, communications and record keeping.
• Support the development and execution of Road Scholar’s community engagement strategy. Assist with the scheduling and implementation of a robust calendar of virtual and on-site events, including communications, external events management and assessment.
• Assist with the functions of the cross-departmental team responsible for monthly staff assemblies.
• Assist with the administrative functions, communications, action items and follow-up for the Senior Leadership Team and select meetings of the Advancement teams.
• Assist with the Office of the President Email account, monitor and triage incoming messages.
• Assist with routine weekly and ad hoc correspondence from the President/Advancement Office.
• Assist with all aspects of the financial assistance program including the awarding, oversight and tracking of all scholarships and grants, as well as collecting feedback and impact stories for internal and external communications.
• Other duties, as assigned.

• College degree or equivalent experience; with at least 2 years of work experience, in an administrative support role, event planning or relevant professional experience
• Strong organizational and time management skills

You will...
• Contribute to the Program Disbursements team’s objectives for processing multicurrency disbursements in the tour operator system.
• Ensure suppliers are paid accurately and on time by entering invoices against budgeted amounts and resolving any that do not match within established tolerances.
• Ensure that variances against cost budgets are resolved prior to payment and take corrective action when budget or payment errors occur.
• Monitor accuracy and productivity and implement changes when appropriate.
• Monitor incomplete payment requests requiring feedback from others to ensure requests do not become issues.
• Enter budgets, budget changes, and associated information (supplier information, additional contract details, etc.), in the tour operator system and resolve any items that fall outside established parameters.
• Answer or address employees and suppliers on questions or problems. Identify opportunities for process or training changes that will reduce questions or problems.

You need...
• 1+ years’ experience in an accounting or accounts payable role.
• Degree in Finance, Accounting, or Business, or equivalent work experience
• Excellent PC experience, particularly with Microsoft Office applications.
• Strong listening, written and oral communication skills.

• Organized and self-motivated with high standards for accuracy, customer service and efficiency
