A.POSITION

PURPOSE

The on-call Sr Administrative Assistant with Retail Management Institute (RMI) provides administrative support for the Institutes infrastructure, operations, staff and programs. Serve as first contact to various internal and external constituencies, including undergraduate students, adjunct and visiting professors, other academic institution faculty and staff, campus visitors, executive guests, Advisory Board members, parents and alumni. Reconciling department budgets and monitoring expenses and budgets in endowments, operating and gift funds. Coordinate communications to faculty, students and alumni, including maintenance of the website and all social media.

B.ESSENTIAL DUTIES AND RESPONSIBILITIES

A. Management of office and general operations in the Retail Management Institute –
• Orders office supplies, media equipment, research materials.
• Work with minimal instruction and produce work in an accurate and expedient manner.
• Ensure office procedures are documented and processes are streamlined for both quality and ease of implementation.
• Monitor the Institute's financial accounts and be the primary interface between the Institute and the University Budget office regarding these accounts.
• Manages and tracks scholarship donations and disbursements.
• Maintain Institute files and completed project proposals for future reference.
• Support RMI at its functions with the Institute's clients including senior executives from retail companies and related industries.
• Must be able to articulate to clients the programs within the Institute - currently the Retail Studies Program, Management Development Programs, and the Retail Workbench Research Center.
• Completes a wide range of complex assignments (data and graph charts) and manage ongoing projects (statistical tracking of events and results)
• Tracks project timelines and keeps others informed of key milestones
B. Manages and maintains RMI internal database, including alums, speakers, current students and all friends of the Institute both internationally and domestically.
• Use MS Access database to create queries, forms and run reports as needed by Institute
• faculty and staff.
• Edit and create codes to sort and analyze data as requested by Institute Faculty and
• Maintain records of alumni, speakers, current students, and all friends and associates both domestic and international of RMI.
• Send annual updates to all alumni of RMI, enter changes, and use the University database
• (Raisers Edge) to track down missing information.
C. Manages and maintain Institutes web content and social technology
• Monitor, improve, and update the performance of existing Web site.
• Write maintainable HTML codes for site.
• Conversion of existing images (TIFF, BMP, PSD) for online use (JPG, GIF) using
• PhotoShop is a must.
• Must be able to take ownership, prioritize, and meet deadlines with minimal supervision.
• Create a soft copy emailed newsletter.
• Social Online Media Coordination
• Update and manage Institutes presence on Facebook, Twitter and other social media sites
• Establish a consistent branding message across multiple networks.
• Use social media sites to drive traffic to the company's main Web site.
D. Manages logistics for meetings and Executive Management Development Programs.
• Coordinate and follow-up on all Institute projects from conceptual inception to implementation
• Manages Management Development Programs logistics – TIAS and RCME and on campus speaker program. Manages meetings between Institute staff and external clients, which includes obtaining meeting rooms, arranging catering, AV needs, correspondence to speakers, travel arrangements, preparation and distribution of an agenda and materials to be discussed.
• Prepare billing invoices as needed for Management Development Programs.
• Work closely with the Executive Director, Director and Associate Director in timely correspondence with Advisory Board members.
• Take Minutes of bi-annual Advisory Board meetings
E. Provide administrative support for the RMI Executive Director, Director, Associate Director and related Faculty.
• Screen and route incoming calls, taking messages when appropriate and proactively responding to messages as needed
• Make domestic and international travel arrangements and insure all Institute staff are aware of these arrangements so that communication between Institute staff continues during these business trips.
• Proactively draft correspondence for Institute staff and faculty signature and distribute copies of correspondence as appropriate.
• Support projects organized by the Retail Studies Student Association.

We are looking to create a new Systems Engineering program in our School of Engineering. The new assistant professor will join the bioengineering faculty at SCU at a time of significant opportunity for research laboratory establishment and programmatic development. Forward-looking research will be supported as the School of Engineering moved into the newly constructed state-of-the-art 300,000 square foot Sobrato Campus for Discovery and Innovation (https://www.scu.edu/stem/) in Fall of 2021. Essential Duties And Responsibilities
• Manage campus-wide distribution of equipment to enhance instruction.
• Manage a large staff of 50-60 part-time student assistants in the delivery, setup, testing, operation, and pickup of equipment and systems.

The Assistant Director of Admissions will report to the Director of Admissions and Financial Aid. This key position is responsible for recruiting students for the degree programs within the School of Education and Counseling Psychology.

SPECIFIC DUTIES AND RESPONSIBILITIES

Admissions and Recruitment

Oversee on campus recruitment: Work with academic departments and the Career Center on campus and guide the ongoing development of a comprehensive recruitment program among SCU undergraduates

Serve as the primary contact for prospective students and applicants creating a positive admissions experience guiding them through all stages of the application process culminating in enrollment.

Communicate with inquiries in a timely manner to educate them on the application process and manage inquiries to achieve prompt contact and performance activity weekly goals; utilize approved recruitment policies/formats; make prompt and effective contact with inquiries and redirect unqualified candidates based upon incompatible career goals.

Provide information about degree requirements, application process, scholarships and financial aid with specific attention to the unique needs of each student for all ECP degree programs.

Serve as the expert on financial aid and billing issues – work closely with the central financial aid team to ensure timely communication on important financial deadlines.

Maintain communication with Student Services and IT counterparts to ensure applicant files are transferred and admitted students are matriculated in a timely manner.

Assist the Director of Admissions in planning and execution of all recruitment events including information sessions, workshops, welcome events and orientation.

Represent the Admissions team and the School at recruitment events

Assist Director with ongoing recruitment campaigns

Work closely with the SCU Online team to ensure Online MATTC inquiries/leads are being processed

Student and Alumni Ambassador Program

Student and Alumni Ambassador Program

Create and direct the Student and alumni Ambassador program to assist with outreach and recruitment including host/guest opportunities, class visits and representation at events and social media engagement

Plan quarterly activities in conjunction with Director of Admissions to utilize the ambassador volunteers

Partner with the existing student groups to execute events and activities for prospective students

Design a model to create an ambassador pipeline (student through alumni and beyond)

Identify student leaders and create steering committee to lead the program

Conduct quarterly training for Steering committee leaders on appropriate representation of SECP and Anti racism/DEI initiatives

Supervise student leadership team

Work with the Director of External relations to determine appropriate activities for alumni ambassadors

Train alumni on School policies/program updates when necessary

Work with the marketing team to create a website for the visit program (Be Our Guest)

Design and utilize social media to promote and execute Ambassador events and activities to promote the School and its programs

Collaborate with on-campus departments, faculty and staff to promote the Ambassador events and activities to the undergraduate population

Within the Ambassador program, identify volunteers to serve as "social media warriors" to promote and amplify School visibility through social media platforms

Oversee efforts to engage social media contacts at our partner organizations

Evaluate effectiveness of program on a quarterly and annual basis to determine areas of improvement

Manage a budget of $5000 to create this program and provide volunteer appreciation.

Financial Aid

Working with the Director of Admissions and Financial Aid, communicate the overall process to prospective students and applicants.

Assist in the process by promoting scholarships to prospective and enrolled students and making initial recommendations to the Director of Admissions and Financial Aid and the Senior Assistant Dean of Enrollment for review.

Work with the Senior Director of Student Services and Academic Support to provide and maintain detailed records for scholarship awards for new students.

Working with the central Financial aid office, communicate the scholarship application process to prospective students through in person workshops, individual advising appointments and other communication channels.

Work closely with the Bursar's Office, the central Financial Aid Office and the One Stop Enrollment Services Center to ensure students understand their awards and their student accounts are accurate.

Other duties as assigned.

Purpose:

The School of Engineering seeks applications for quarterly adjunct lecturers (QALs) for the 2022-2023 academic year to teach graduate level Engineering courses.

Santa Clara University operates on a quarter system. Each quarter (fall, winter, and spring) is 10 weeks long, with an extra week for final examinations. Graduate classes are typically held during the 7:10-9:00 A.M., 5:10-7:00 P.M., and 7:10-9:00 P.M. time slots.

QALs are allowed to teach up to 4 course equivalencies (CEs) per academic year with no more than 2 CEs in any particular quarter. Additionally, QALs are allowed to teach an additional 2 CEs during the summer terms.

Generally, course equivalencies are:

GRADUATE:
4 unit lecture = 1 CE
2 unit lecture = 0.66 CE

1 unit lecture= 0.33 CE

Basic Qualifications

Earned graduate degree (Ph.D. preferred) in Engineering, or a closely related field. At a minimum, candidates should hold a Master's degree with equivalent experience.

Demonstrated excellence in teaching at the graduate level.

Responsibilities

Teach one or more graduate courses in Engineering, including:

1. Prepare and conduct all assigned class meetings;
2. Assign and evaluate/grade student work appropriately;
3. Be available to students for consultation outside of class;
4. Assign student grades appropriately and submit them on time to the Office of the Registrar;
5. Conduct course assessments as required by the department; and

6. Complete and submit time card every two weeks.

Special Instructions to Applicants

All QAL faculty must apply via WorkDay once each academic year to be hired as a QAL faculty.

Your letter of application must include the specific courses you are interested in teaching that match your expertise and contact information for three references.

B. Reviews applications by territory and as assigned. Makes admission recommendations as authorized. Application evaluation will also include transfer applications.

II. Specific Duties:

A. Serves as University Representative.

C. Assists with team projects and administrative responsibilities

• Provides information for internal and external marketing to develop public relations and promotional messaging.

Pursues opportunities to recruit students from diverse backgrounds for both the J.D. and LL.M. programs offered by the School of Law

Investigates opportunities and implements programs to increase awareness of the School of Law for students from underrepresented and diverse backgrounds.

Engages with legal and educational organizations dedicated to increasing the pipeline of high school and undergraduate students from diverse backgrounds.

Serves as primary contact for students interested in graduate legal programs

Acquires and maintains knowledge of applicable rules and regulations affecting international students interested in graduate legal programs.

Investigates opportunities to market programs to prospective students.

Represents the School of Law at events targeting students interested in graduate legal programs.

Reviews admissions and scholarship applications, and makes recommendations

Reviews applications for admission and makes recommendations on the admissibility of candidates.

Occasionally reviews scholarship applications and assists in the selection process for competitive and/or selective scholarships.

Occasionally supervises work of student assistants.

• Recommends initiatives and implements changes to improve quality and services.
• Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices.
• Maintains contact with customers and solicits feedback for improved services.
• Maximizes productivity through use of appropriate tools; planned training and performance initiatives.
• Researches and develops resources that create timely and efficient workflow.
• Prepares progress reports; informs supervisor of project status; and deviation from goals. Ensures completeness, accuracy and timeliness of all operational functions.
• Prepares and submits reports as requested and required.
• Develops and implements guidelines to support the functions of the unit.
• QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The items below are representative of the knowledge, skills, abilities, education, and experience required or preferred. This position requires the ability to effectively establish and maintain cooperative working relationships within a diverse multicultural environment.

Bachelor’s required. J.D. desirable.

Minimum of 2-3 years of admissions and financial aid experience in a law school or graduate school environment desired. Experience working with international students highly desired.

Working knowledge of federal financial aid regulations and law school admissions practices and procedures. Familiarity with immigration regulations applicable to international students.

Excellent writing and verbal communication skills. Strong interpersonal skills. Strong customer service orientation.

Ability to work independently and manage multiple concurrent tasks. Demonstrable proficiency in Microsoft Office suite of products. Ability to travel and work nights and weekends as needed. Demonstrated ability to work with students from diverse backgrounds.
