Registration Clerk Duties:

Performs moderately registration. Interviews and determines financial responsibility for services. Obtains accurate demographic and financial information from multi-cultural clients. Responsible for explaining eligibility process to clients and refers to appropriate public assistance agencies. Performs name changes according to the "Direct Client Services Manual". Accurately registers and checks-in clients by completing all necessary screens in HMS, according to the "Direct Client Services Manual" as specified by FDOH CHD-Health Access. These duties include but are not limited to verifying and updating names, addresses, financial and insurance information. Processes client's efficiently to assure a consistent flow of clients to the provider (s). As clients register for services, initiates superbill and registration form, copies social card, eligibility papers and other appropriate papers received. Initiates medical record on all new clients and witness's client's signature on permission care form and other mandatory documents. Reviews data for accuracy and completeness. Identifies clients that need to be processed for prepayment of services, effectively communicates the collection policy, determine sliding fee scale, and apply appropriately.

Schedules, cancels and / or re-schedules client’s appointment according to guidelines. Answers incoming telephone calls, courteously and transfers to appropriate person and/or department. Directs and responds to general public inquiries regarding services provided.

Cashier Duties:

Determines financial responsibility for services received at the Health Center. Performs basic arithmetical calculations to

determine amount of pre-payable services as well as the amount due at collection and billing of services. Accurately process

collection and billing of services according to agency policy including but not limited to, collecting payment of services, making change, issuing receipts, and adjusting fees. Accurately inputs self-pay superbills and billing data. Responsible for reviewing data for accuracy and completeness. Read and interpret insurance coverage and charge for non-covered services. Balances cash drawer and generates financial reports. View and update client billing and payment information.

PEPW Duties:

Responsible for assisting other PEPW sites, as needed, to process pregnant clients to establish authorization for temporary Medicaid coverage. Will require traveling to these sites to become familiar with their process. Interviews client by obtaining information to determine financial eligibility for Medicaid and Health Care District. Interview client in a confidential setting and based on income, residency, and family size. Assists and assures clients accurately complete appropriate application prior to entering the information into the computer system database. Reviews client choices to seek services at the FDOH-CHD, complete client exiting schedule clinic appointment, update financial information in HMS, initiate the Healthy Start form, complete Health Care District documentation, and refer to WIC. Responsible for accurately enter client's information into the PEPW database as specified in the FDOH-CHD guidelines. Create and maintain eligibility file for each client. Forwards required documentation to appropriate agency and prints log as needed. Coordinates information and services to outreach workers of the Maternal Child Family Support Network such as Healthy Mothers/Healthy Babies to facilitate a continuum of care. Based on client's Florida System review date the incumbent will view and update the client's eligibility status in the Florida System, PEPW database, and client's eligibility file. On Medicaid Denials required documents will be forwarded to Health Care district. Follow up of Health Care District eligibility status and update the HMS financial information, PEPW, database and the client's eligibility file.

Provides referrals to clients who does not qualify for ADAP to community partners, e.g., HealthCare District, FoundCare, AIDS Healthcare Foundation (AHF), or Compass. Checks if client has insurance, e.g., Medicaid, Medically Needy, Medicare, HMO, or other insurance. Ensure labs order and client records are kept updated and notifies clients of expiring labs and prescriptions.

Issues client specific medications in ADAP office sites and maintains an ongoing inventory system, including receiving, storing and returning of medications, pursuant to State regulations. Distributes patient drug information sheets with medications. Accesses the Pharmacy Forms Systems (PFS) as well as the Provide System maintained.

Performs internal screening of clients for approved ADAP Marketplace policies and verifies plan selection. During open enrollment periods, and as directed by the State ADAP office.

Reviews client information in Provide to ensure all required documentation for determining client eligibility is accurate. Ensure all required information are scan in Provide at time of first enrollment and as required for audit purposes. Processes clients efficiently and timely to assure a consistent flow. Schedules returning appointment. Reports immediately to ADAP Supervisor, or designee, any client problems/complaints. Ensures ADAP supervisor is informed of all ADAP-drug-related issues in Palm Beach County. Assists other ADAP staff in resolving ADAP issues/problems/questions, as needed. Responds to requests for technical assistance.

Administers client surveys, as needed and as requested by the State or by local Program. Coordinates and manages the ADAP office ensuring office coverage, acting as ADAP receptionist, greeting and routing visitors, and any other activity necessary to maintain office operations.

Enters EARS into data system. Coordinates for in-services and trainings for health department staff, community members and organizations/agencies, as requested and as needed. Attends training, educational courses/seminars, meetings and in-services annually or as needed. Participates in scheduled clinic team meetings, e.g. quality assurance (QA) record audits, and general staff meetings and in-services.

What you will do:

In this position you will be responsible for receiving, reviewing and assigning all abuse reports received from the Florida Abuse Hotline. Additionally you will follow up with the appropriate supervisory personnel to ensure they are aware of pending investigations and staff assignments. This enables the supervisor to ensure the Child Safety Risk Assessment is completed within the prescribed timeframes.

How you will make an impact:
• Print and review all abuse reports received from the Hotline and OTI requests called in from other counties. This requires coordination with the Florida Abuse Hotline Information system (FAHIS), Child Information System (CIS) and Florida Safe Families Network (FSFN).
• Review appropriate databases for the previous or open investigations and child family involvement with other family safety programs.
• Provide clerical support for a multi-function Family Safety Unit.
• Prepare intake case records for Child Protective Investigator for cases received over the Child Abuse Hotline. *Case is then assigned in Florida Safe Families Network (FSFN) and CPI is notified. This same procedure is followed for any Out-of-town Inquiry Request that is received.
• Assign cases to CPI or CPI Supervisor.
• Package investigation information and conduct diligent searches.
• Archive case files and maintain rotation and case logs.

Qualifications:
• High School Diploma.
• Two years of clerical experience preferred.
• Ability to speak/read/write Spanish/Creole is a plus
• Basic Microsoft Suite Knowledge (Outlook, Excel, Word)
