Summary

The Toledo Museum of Art seeks a People & Talent Coordinator to support the People & Talent Department (P&T) in the coordination, development, and successful delivery of strategic talent management practices to drive culture and performance. Reporting to the Director of People & Talent, the coordinator works as part of the People & Talent team to deliver an exceptional experience for staff throughout the employee life cycle to fulfill the Museum’s objective of being an employer of choice. The coordinator is responsible for deliverables that include onboarding, development, performance management, learning and offboarding. Works as a collaborative member of the P&T in the division of People & Culture. Supports the Director of People & Talent and the division with projects and tasks as needed.

Key Accountabilities
• Provides project management and administrative support, acts as logistical point-person for the P&T projects, and assists in the tracking and delivery of people and talent initiatives and compliance calendar.
• Responds to internal and external P&T (human resource) related inquiries or requests and helps in-person, on the phone, and through email or other channels.
• Coordinates P&T operations including key communications including the All-Staff Meeting, announcements and/or newsletters or other communication channels.
• Collaboratively supports the Manager of Talent Acquisition to facilitate the talent management and selection process that may include:
• Assists with and participates in job fairs and other community workforce development activities.
• Utilizing the applicant tracking system to schedule candidates for phone or virtual screening interviews, on-site interviews with hiring managers and other interviewers.
• Reserving and preparing meeting spaces for interviews.
• Making employment offers and notifying candidates who are not selected.
• Initiating and monitoring the employment screening process to ensure viable candidates meet established hiring criteria (i.e., criminal background check, drug screen, physical exam, past employment verification, etc.)
• Coordinates the TMA new staff onboarding process that may include:
• Creating new employee offer letters and welcome emails.
• Coordinating start date with the hiring manager and/or the new employee.
• Ensuring all new hire paperwork is completed accurately and timely.
• Completing the new hire checklist for new employees.
• Coordinates support to the Payroll and Benefits Specialist by assisting with benefit orientations as needed.
• Coordinates and supports the FML and unemployment processes.
• Coordinates and maintains all OSHA records in accordance with federal law to include maintaining forms 300, 300A and 301.
• Coordinates and supports the TMA fully insured workers’ compensation program.
• Coordinates and supports the learning program(s) and culture initiatives.
• Coordinates and supports staff through the employment life-cycle including performance management initiatives (annually and mid-year).
• Oversees and administers the offboarding process to include:
• Conducting exit interviews to gain insight into transitioning employees’ experiences with the Museum and summarizing comprehensive report of findings.
• Completing the exit checklist.
• Maintaining the turnover report.
• Keeping the Director informed of important information and trends.
• Coordinates and maintains employment files in accordance with departmental practices and employment law.
• Maintains familiarity with the terms and conditions of the collective bargaining agreement (CBA).
• Performs other duties as assigned or required.

RELATIONSHIPS
• Reports to Director of People & Talent and works as a member of the P&T team.
• Works collaboratively with TMA department managers.
• Builds a rapport with all staff and cultivates relationships and communications with outside stakeholders.

Education And Experience
• Bachelor’s degree in human resources management or related field (SHRM-CP preferred).
• 2-4 years of experience in human resources setting.

• Highly proficient in Microsoft Excel and PowerPoint, HR analytics and reports, pivot tables, charts, interpretation and data visualization and presentation.

WORK ENVIRONMENT

Standard office environment requiring regular use of phone, computer, and copy machines. SUMMARY
Works as part of a team that creates and maintains the physical appearance of the Museum’s buildings and grounds to the highest standards. Performs duties requiring demonstrated skill and other, more routine tasks to create a welcoming atmosphere for visitors and staff.

KEY ACCOUNTABILITIES
The Utility Building Services position performs the following essential duties. Other duties may be assigned as needs arise.

As assigned, performs duties requiring demonstrated skill to the standard set by the Museum:
• Performs all aspects of maintenance on hardwood, marble, terrazzo, tile, and cork floors, including buffing, polishing, stripping/refinishing as directed.
• Preps and paints walls, woodwork and ceilings in all non-gallery areas; paints exterior railings and other trim;
• Cleans rugs, carpets, and upholstered furniture.
• Assembles/disassembles and reassembles furniture using basic hand tools.
• Using forklift, pallet jack, etc., assists with the delivery of bulk freight and/or other deliveries, moving materials among Museum buildings as necessary.

Performs all housekeeping duties, including but not limited to the following:
• Regular dusting, and cleaning, including windows, walls, ceilings, woodwork, restrooms, cases in galleries, etc.; polishes metalwork; wet and dry-mops floors; stocks supplies in restrooms and classrooms; keeps storerooms clean and orderly.
• Empties trash in all areas of Museum, transports trash and waste to disposal area; keeps disposal area free of litter.
• Physically assists with delivery of bulk freight and/or other deliveries.
• Transport small equipment and tools between Museum areas; moves office furniture and other furniture as requested.
• Provides emergency clean-up as needed

Sets up and tears down for special events, including but not limited to:
• Setting up tables, chairs, and other items as directed by supervisor and or work orders; making necessary adjustments as directed by Special Events Staff or activity coordinator.
• Removing equipment following special events and Museum activities; remove all trash and debris; return gallery and/or meeting areas to clean and orderly condition.

Assist with Grounds duties as assigned, including but not limited to:
• Snow and ice removal
• Removal of trash and other debris
• Lawn maintenance: edging, trimming and hand mowing, mulching, and weeding
Performs other related duties as assigned by the supervisor.

RELATIONSHIPS
• Reports directly to the Director of Facilities. Facilities Supervisor may also assign tasks or provide direction to the Utilities team members.
• Works closely with Protective Services, Conservation, IT, and other members of the Facilities team to include the maintenance team and groundskeepers.

EDUCATION AND EXPERIENCE
• Must be at least 18 years of age and have a high school diploma or GED equivalent.
• Must be able to obtain valid driver’s license; must be insurable through TMA insurance company.
• Minimum of two years' related experience in the past three years, cleaning in a large commercial or institutional environment, with working knowledge of all equipment and materials used in utility work, including floor cleaners and waxers/buffers; previous experience with genie and/or scissors lift and forklift required; some experience with hand mowers and snow blowers preferred.

SPECIALIZED KNOWLEDGE, COMPETENCIES AND ABILITIES
• Ability to interpret and follow instructions given in both written and verbal form, including but not limited to basic work orders, safety rules, operating and maintenance instructions and procedure manual.
• Ability to communicate effectively and tactfully, both verbally and in writing; ability to perform basic computer functions.
• Must be well-organized, have a strong work ethic with attention to detail with excellent follow-through and ability to work with minimum supervision.
• Normal range of vision and hearing (corrected impairment acceptable).
• Must be able to bend, reach, climb (ladders), and lift and move 80 lbs, work in tight spaces as well as heights; remain on feet for extended periods of time.
• Must be able to work in extremes of outdoor conditions.
• Must be willing to work overtime as necessary.

WORK ENVIRONMENT
Position requires the ability to bend, reach, climb (ladders), lift and carry heavy loads (80 lbs), move heavier objects and work in tight spaces. Must be able to remain on feet for extended periods of time and work in extremes of heat and cold. Some duties will involve working in wet or humid conditions and near moving mechanical parts. May occasionally be exposed to fumes or airborne particles, and/or work with toxic or caustic chemicals.

SUMMARY
The primary responsibility of the Seasonal Grounds Assistant is to help maintain the Toledo Museum of Art’s campus grounds in a condition of excellence, assisting the Facilities department with various grounds-keeping tasks involving the care and maintenance of turf and grounds.

KEY ACCOUNTABILITIES
The Seasonal Grounds Assistant performs the following essential duties and ensures quality visitor experiences.
• Performs a variety of tasks involving the care and maintenance of turf and grounds.
• Performs general labor inside and outside of the Museum including handling materials and supplies, moving equipment.
• May include the operation of hand operated landscaping tools, weed eaters and mowers.
