Position Summary
The Administrative Assistant is responsible for providing general to complex office support to ensure efficient HS operations throughout the year. Position also assists in planning and executing events. The Administrative Assistant reports to the Principal.
This position is considered a “Responsible Employee” under Title IX federal regulations and “Mandatory Reporter” under Texas state law and the UIW Sexual Misconduct Policy. As a Mandatory Reporter, this position requires you as the employee to promptly report any incident that you witness or receive information about Title IX violations. These reporting responsibilities are set out in the UIW Sexual Misconduct Policy.

Description of Job Duties
• Serves as first point-of-contact for the office; greets parents, students and visitors and signs in guests on Raptor; ensures appropriate verification for student sign-out.
• Answers phone and takes messages for the faculty, staff and students.
• Provides information to callers and visitors as needed.
• Collects and delivers mail to appropriate areas.
• Prepares written correspondence, forms, schedules, or reports using office PC.
• Manages substitute program for faculty/staff members requiring a substitute during school hours or if a staff member cannot obtain a substitute when reporting an absence through the Substitute Employee Management System (Frontline).
• Provides faculty/staff members with an up to date list of current substitutes and their phone numbers.
• Maintains school calendar of events.
• Schedules meetings and appointments and maintains calendar for school.
• Notifies faculty/staff members of their need to sign absence listing report if they were absent.
• Assists in planning and executing school events.
• Maintains confidentiality of information.
• Reports to work on time every day.
• Performs additional duties and accepts responsibilities as may be assigned.

• Ability to professionally interact with HS staff, parents, and students; ability to diffuse individuals and have difficult conversations regarding school policy and procedure.
• Ability to work effectively with individuals from diverse communities and cultures.
Required Education
High School Diploma or it’s equivalent.
Required Work Experience
One (1) to two (2) years work of experience providing administrative support in a complex office environment.
Preferred Qualifications
Two (2) or more years of providing administrative support in a school setting.

Work Hours
Mon through Friday 7:30 am to 5:00 pm, with extended hours as needed to meet deadlines and work special events which may occur in the evenings.
Physical Demands
• Ability to lift up to 10lbs of office and event supplies.
• Ability to actively engage in events for extended periods of time.
• Ability to regularly move about campus and event venues to actively engage potential and current students, as well as attend meetings.
• Ability to reach overhead, bend, squat to retrieve office materials.
