Primary Duties
The UM-IHC will optimize computational and analytical methods to advance research aimed at improving the health and quality of life of the citizens of Maryland. The Office Manager will contribute to the success of the UM-IHC by:
Providing high level executive assistance to the Co-Director(s), utilizing diplomacy, discretion, and confidentiality
Working closely with other members of the administrative and program management teams to coordinate Institute activities
Acting as liaison between the co-director(s), campus, and external organizations
Acting independently to resolve administrative problems
Managing the calendars of the co-director(s), including handling scheduling communications, creating meeting agendas, and preparing co-director(s) for meetings with any necessary background information
Coordinating travel for co-director(s)
Acting as a problem identification and resolution resource, answering questions, providing guidance, troubleshooting, and following up to resolve problems, both internal and external
Providing hands-on support as needed in the functional areas supported by the Institute’s administrative group
Assisting with grant assembly, manuscript and nomination preparation, and proofreading materials for procedural, typographical, and grammatical accuracy with general policy and factual correctness
Exercising independent judgment and initiative in establishing and revising complex and sensitive electronic filing systems
Receiving and screening telephone calls and visitors
Acting as an intermediary for executives, interacting with officials, staff at all levels, and the public. Provides information requiring comprehensive knowledge of institutional policies, procedures, and special considerations
Supporting office using automated equipment, printers, copy equipment, and internet
Performing other duties as assigned
The incumbent will be a key member of the UM-IHC’s administrative team, working to execute the center’s strategy and represent the center professionally with internal and external stakeholders. The incumbent regularly handles matters of a highly confidential or sensitive nature and ensures the confidentiality of information.
As the UM-IHC develops, the staff will embrace a start-up mentality, working on a broad range of projects with an eye toward constant improvement and establishment of best practices. This may take the incumbent outside their job description to carry out the center’s mission. The Office Manager will be flexible and embrace a can-do, “all hands on deck,” optimistic professionalism characterized by a desire to innovate, ask questions, learn, iterate, and grow with the center. The incumbent will be asked to be forthcoming with ideas, contribute creative solutions, and bring their experience to bear in assisting the UM-IHC leadership with strategic and logistical challenges. • With training, provides behavioral activation interventions and coordinates efforts related to other interventions (e.g., nutritional, physical activity).
• Prepares progress reports to funding agencies and presentations to sponsoring and regulatory agencies. Prepares and provides reports to all necessary parties (e.g., the principal investigator, sponsoring agency, etc.) on the progress of the study as needed. Recommends changes/additions to established data fields, formulates, prepares database, and generates a complete measurement report for review by the director. May oversee staff assigned to this responsibility.
• Combines and evaluates information and data to make decisions about the relative importance of information and choosing the best solution to solve problems. Resolves complex situations based on established policies and procedures and refers non-solved issues and questions to the supervisor.
• Makes recommendations concerning time-saving methods in data collection.
• Checks validity and accuracy of data, ensuring compliance with quality control requirements.
• Ensure that goals and objectives specified for the research project are accomplished by priorities, time and funding limitations, or other specifications.
• Assists Principal Investigator(s) and research staff in the preparation of new protocol submissions, protocol amendments, and renewals of ongoing research studies.
• Serves as the primary liaison to other collaborating departments, outside organizations, corporate sponsors, and product representatives to promote effective and efficient operation and use of resources.
• Attends research study or clinical trial-related meetings, and (tele)conferences, as well as participating in any additional planning and development-related activities.
• Coordinates with Division Finance Team as well as Clinical Compliance & Budget Office

PRIMARY DUTIES:

PRIMARY DUTIES:
Prepares procurement transactions, travel expenses and monthly audits/reconciliations using established purchasing processes. • Coordinate with UMB Student Employment and the Office of the Provost – Administrative and Fiscal Affairs on efforts related to student employee hiring, staff hiring, payroll, and Human Resources.
• Oversee onboarding of UMB Student Affairs staff to relevant business operations and professional development opportunities related to program assessment, sustainability, financials, risk assessment planning and safety efforts and priorities.
• Provide vision, strategy, and direction to designated professional development and recognition efforts focused on attracting, developing, and retaining talent at all levels within UMB Student Affairs.
• Create and supervise a cohesive, diverse team that works to collaboratively achieve the University’s goals and mission, which includes supporting student’s learning and success. Oversee the recruitment, performance, and training of team members and continually review strengths and increase proficencies of staff to maintain a well-trained, highly involved, and motivated team.
• Performs other duties as assigned.
Qualifications
Education: Master’s degree in Business Administration, Facility Management, Business Management, Organizational Development, or a related field.
Experience: Twelve (12) years of progressively responsible professional experience in demonstrating the effective leadership, management, and administration of facilities and business operations with at least five (5) years of specialized experience. Experience in a Student Affairs and/or a University environment preferred.
Supervisory: Five (5) years of direct supervision and management. Seven (7) years of experience preferred.
Certifications/Licensures: Certified Public Accountant (CPA), Certified Management Accountant (CMA), Certified Financial Manager (CFM), or Certified Internal Auditor (CIA) preferred.
Other: Financial disclosure reporting required by State of Maryland Ethics Commission. Serves at the pleasure of university leadership and/or Associate VP, Student Affairs.
