General Description / Primary Purpose:
• This position provides accounting support to Student Government centralized funded entities that may include but are not limited to the Osprey Involvement Center, Club Funding, Lend-A-Wing Pantry, Osprey Life & Productions, Recreation & Intramurals, SG Executive Branch, SG Judicial Branch, SG Legislative Branch, Student Travel, Student Elections, Student Union, and the Student Wellness Complex.
• The accounting associate provides primary accounting support for roughly five of these funded entities in rotation and secondary support for all the other A&S funded entities. Accounting support encompasses processing purchase requests, audits for compliance, encumbrance reviews, monitoring and reconciling department accounts, notifying the SG Business Manager and Controller’s Office of any discrepancies and/or needed voucher adjustments, and maintaining SG’s accounting information system. The position also provides one-on-one customer support to student leaders in terms of advisement and training regarding routine procedures. This position will be required to attend Legislative meetings, which may occur in the evenings or weekends. Schedule may be adjusted to accommodate these hours.

Job Function:

Specific tasks include:
• Processing invoices for payment.
• Recording/filing of paperwork, electronic files, and transactions into the SG accounting system.
• Prepares/processes various forms to accomplish required office functions, tasks, and projects (purchase requisitions, travel requests, payee invoices, contracts, etc.).
• Assists in the review/proofreading of printed materials.
• Prepares travel requests and reimbursements for student travel including hotel and car reservations and University travel system workflows.
• Checks out & logs in P-Card and/or Lend-A-Wing van keys.
• Assists with the Executive Branch travel arrangements.
• Tracks and reconciles centralized A&S fee budgets and foundation account and notifies supervisor of any discrepancies.
• Prints and distributes monthly reports for centralized A&S fee budgets. Participates in bi-weekly meeting with budget directors.
• Acts on approved Senate fiscal legislation, which includes budget amendments, transfer of funds, assisting with capital project funds, and travel arrangements.
• Attends Student Government meetings (including, but not limited to Budget and Allocations Committee, Osprey Involvement Center Club Funding Board, and Senate meetings) as required.
• Assists budget managers with vendor conflict resolution.
• Assists centralized budgets with payroll processing and implementation.
• Assists decentralized A&S fee budgets with various accounting services, if needed or requested. Aids in the continuous development of the SG accounting system and provides input into operation policies and procedures.
• Assists in fiscal training of new SG administration, student leaders, and agencies. Assists in the preparation of the annual operating budget requests.
• May oversee training for Osprey Involvement Center employees on club funding procedures and new employees on navigating and using university student engagement platform.
• Assists with training student staff with on the budget protocol and procedures.
• May updates documents and grant and purchase requests on campus student engagement platform.
• Advises clubs for funding and purchase requests.
• Other duties and/or tasks as assigned.

This faculty member will be expected to teach graduate level courses at the masters and doctoral level. D.) at UNF was recently accepted into the Carnegie Project on the Educational Doctorate (CPED). CPED and the UNF Ed. This person must help with all UNF Ogier Gardens physical tasks, including but not limited to: working both inside and outside in heat, sun, wind, rain & cold; preparing beds, planting, cultivating, weeding, harvesting, mulching, scouting, including recording pests and disease (which may require lifting heavy objects of up to 50 lbs); working near animals, plants, and insects that can bite/sting. In addition to those physical tasks, the position requires you to help with all UNF Ogier Gardens outreach, including but not limited to: introducing yourself as staff to each person who enters the Gardens, and guiding volunteers, marketing and outreach efforts, as well as promoting student health through gardening. It is extremely rare that work may be required on weekends.
